Gaggle Privacy Policy

Effective date: [EFFECTIVE DATE] Last updated: [LAST UPDATED DATE]

This Privacy Policy explains how MoreGood, LLC ("MoreGood," "we," "us," or "our") collects, uses, shares, and protects personal information in connection with gaggle.bot, the Gaggle AI teammates, the Task-as-a-Service offering, and our related services (together, the "Service"). It should be read together with our Terms of Service. Capitalized terms not defined here have the meanings given in the Terms of Service.

1. Who We Are

Gaggle is a product of MoreGood, LLC. You can reach us at [PRIVACY EMAIL] or MoreGood, LLC, [BUSINESS ADDRESS].

Gaggles are AI teammates. They are artificial intelligence systems, not humans, and they do not claim to be human.

2. Our Two Roles: Controller and Processor

We handle personal information in two different roles, and this Policy treats them differently.

2.1 When we act as a controller. We decide how and why to use information about visitors to gaggle.bot, people who contact us, and the people who sign up for, buy, and manage Gaggle accounts. For this information, we are responsible for how it is handled, and this Policy applies in full.

2.2 When we act as a processor (service provider). When our customers send requests to a Gaggle, share files with it, or give it access to their tools, we process that information on the customer's behalf and under the customer's instructions. This is "Customer Data." The customer, not MoreGood, decides what Customer Data is shared and for what purpose, and the customer is responsible for having a lawful basis, required consents, and notices to share it with us. Our handling of Customer Data is governed mainly by our agreement with that customer.

2.3 If your information is in Customer Data. If you are a client, patient, participant, employee, or contact of one of our customers and your information was shared with a Gaggle, please contact that customer directly with privacy questions or requests. If you contact us, we will refer your request to the customer or help the customer respond, as our agreement with them allows.

3. Information We Collect

3.1 Site visitors. When you visit gaggle.bot, we and our service providers may collect:

  • device and connection information, such as IP address, browser type, operating system, and approximate location derived from IP address;
  • usage information, such as pages viewed, links clicked, referring pages, and the date and time of visits; and
  • information collected through cookies and similar technologies, as described in Section 7.

3.2 People who contact us. If you email us, fill out a form, book a call, or join a waitlist, we collect what you provide, such as your name, email address, organization, role, phone number, and the content of your message.

3.3 Account holders and customers. When you sign up for or buy the Service, we collect:

  • contact and account information, such as name, business email, organization name, role, and the email addresses authorized to use your Gaggle;
  • billing information, such as billing contact and billing address. Payment card details are collected and processed by our payment processor, Stripe, and we generally receive only limited information such as card type, last four digits, and expiration date;
  • communications with us, including support requests, feedback, and records of your Order Form; and
  • configuration information, such as your Gaggle's name, settings, instructions, and the tools you connect.

3.4 Customer Data processed for customers. To provide the Service, we process Customer Data, which may include:

  • the contents of emails sent to and from Gaggle addresses, including the names, email addresses, and other details of senders and recipients, message text, and attachments;
  • files, records, and data that Gaggles access in a customer's Connected Tools using the access the customer grants; and
  • Output that Gaggles produce, along with logs of the requests made and actions taken.

3.5 Information from connected services. When a customer grants access to a Connected Tool, for example by inviting a Gaggle to a shared file or authorizing an integration, we receive the information that tool makes available within that access.

4. How We Use Information

4.1 Controller data. We use site, contact, and account information to:

  • provide, operate, and support the Service and your account;
  • process payments, send invoices, and manage subscriptions;
  • respond to inquiries and provide customer support;
  • send service, security, and administrative messages;
  • send marketing messages about MoreGood and Gaggle, where permitted, which you can opt out of at any time;
  • understand how the site and Service are used and improve them;
  • detect, prevent, and respond to fraud, abuse, security incidents, and violations of our Terms; and
  • comply with legal obligations and enforce our rights.

4.2 Customer Data. We use Customer Data to provide the Service to the customer, including to read and respond to requests, do the requested work, and deliver Output; to provide support; to keep the Service secure and prevent abuse; to troubleshoot and improve the Service for that customer; and to comply with law. We do not use Customer Data for marketing or advertising.

4.3 Aggregated and de-identified data. We may create aggregated or de-identified information that does not reasonably identify any person or customer, and use it to operate, analyze, and improve the Service. We will not try to re-identify it.

5. AI Processing

5.1 How AI is used. Gaggles use AI models to understand requests and produce Output. To do this, relevant Customer Data is sent to AI model providers that process it on our behalf.

5.2 [OPTIONAL: Model training. We do not use Customer Data to train generative AI models that are made available to anyone other than the customer, and we do not permit our AI model providers to do so under our agreements with them. RENAUD TO CONFIRM, REVISE, OR DELETE. KEEP CONSISTENT WITH SECTION 7.3 OF THE TERMS OF SERVICE.]

5.3 Human review. Authorized MoreGood personnel may access Customer Data when needed to configure, support, troubleshoot, or secure the Service, to investigate misuse, or to comply with law.

6. How We Share Information

6.1 Service providers and subprocessors. We share information with companies that perform services for us under contracts that limit their use of it. These include providers of:

  • cloud hosting and data storage;
  • AI models and AI processing;
  • email sending, receiving, and delivery infrastructure;
  • payment processing, through Stripe;
  • productivity and collaboration tools, including Google Workspace;
  • customer support, scheduling, and communications; and
  • website hosting and analytics.

6.2 Other disclosures. We may also share information:

  • with the customer that controls the relevant Customer Data, and with the people the customer directs a Gaggle to email or share with;
  • with Connected Tools, as needed to do the work the customer requests;
  • when we believe in good faith that disclosure is required by law, subpoena, court order, or other legal process, or is needed to protect the rights, property, or safety of MoreGood, our customers, or others;
  • in connection with a merger, acquisition, financing, reorganization, bankruptcy, or sale of all or part of our business, in which case information may be transferred to the successor or acquirer; and
  • with your consent or at your direction.

6.3 No sale of personal information. We do not sell personal information, and we do not share personal information for cross-context behavioral advertising. [CONFIRM BEFORE PUBLISHING.]

7. Cookies and Similar Technologies

7.1 We and our service providers use cookies, pixels, local storage, and similar technologies on gaggle.bot to keep the site working, remember preferences, keep the site secure, and understand how visitors use it. [LIST OR DESCRIBE THE ANALYTICS TOOLS USED, IF ANY.]

7.2 Most browsers let you block or delete cookies. If you do, some parts of the site may not work properly. Some browsers send "Do Not Track" signals; because there is no common standard for these signals, our site does not currently respond to them. Where required by law, we will honor recognized opt-out preference signals such as Global Privacy Control.

8. How Long We Keep Information

We keep personal information only as long as reasonably needed for the purposes in this Policy, unless a longer period is required or permitted by law. In general:

  • Account and billing information: for as long as your account is active and for [3 YEARS] afterward, or longer if required for tax, accounting, legal, or dispute purposes.
  • Customer Data: for as long as needed to provide the Service, and deleted or de-identified within [30] days after the customer's subscription ends, unless the customer's agreement says otherwise or the law requires us to keep it. Copies in routine backups may remain for up to [90] days until they are overwritten.
  • Site logs and analytics: for up to [12 MONTHS].
  • Communications with us: for as long as reasonably needed to respond and keep business records.

Data held in a customer's own Connected Tools is controlled by the customer and by that tool's provider, and is not deleted by us when the Service ends. Customers are responsible for revoking the access they granted.

9. Deletion and Your Choices

9.1 Deletion requests. Account holders may ask us to delete their account information or Customer Data by emailing [PRIVACY EMAIL]. We will delete or de-identify the information within a reasonable time, except where we must keep it to comply with law, resolve disputes, enforce our agreements, prevent fraud or abuse, or complete a transaction, and except for copies in backups, which are deleted on their normal cycle.

9.2 Marketing emails. You can unsubscribe from marketing emails using the link in the email or by contacting us. We may still send service and administrative messages.

9.3 Revoking access. Customers can stop a Gaggle from reaching a Connected Tool at any time by removing its access in that tool or by asking us for help.

10. Security

We use reasonable administrative, technical, and organizational measures designed to protect personal information against unauthorized access, loss, and misuse. However, no method of transmission over the internet, email, or electronic storage is completely secure, and we cannot guarantee the security of any information. You are responsible for protecting your own accounts, devices, passwords, and the access you grant to Connected Tools, and for telling us promptly at [PRIVACY EMAIL] if you believe your account has been compromised.

11. Health Information and Other Sensitive Data

11.1 Customers must not send protected health information ("PHI") as defined under HIPAA to the Service, or give the Service access to systems containing PHI, unless the customer and MoreGood have both signed a separate business associate agreement ("BAA") that covers that use. Without a signed BAA, MoreGood is not acting as a business associate, and the customer is responsible for any PHI sent in violation of this rule.

11.2 We ask that no one send us government identification numbers, financial account numbers, payment card numbers, or other sensitive information by email or through the site, except as an agreement with us expressly allows.

11.3 Nothing in this Policy is a statement that the Service complies with any particular law, regulation, certification, or industry standard.

12. Children's Privacy

The Service is intended for businesses and for adults at least [18] years old. Our website is not directed to children under 13 (or under 16 where local law sets a higher age), and we do not knowingly collect personal information from them. If you believe a child has given us personal information, contact us at [PRIVACY EMAIL] and we will delete it. Customers must not send us information about children through the Service unless an agreement with us expressly allows it.

13. Your State Privacy Rights

13.1 Depending on where you live, and to the extent those laws apply to us, state privacy laws (such as the California Consumer Privacy Act and similar laws in other states) may give you some or all of these rights about personal information we hold as a controller:

  • to know what personal information we collect, use, and disclose about you, and to get a copy of it;
  • to correct inaccurate personal information;
  • to delete personal information;
  • to opt out of the sale of personal information, sharing for cross-context behavioral advertising, targeted advertising, and certain profiling (as noted in Section 6.3, we do not sell or share personal information in these ways);
  • to limit the use of sensitive personal information, where applicable; and
  • not to be discriminated against for exercising these rights.

13.2 How to make a request. Email [PRIVACY EMAIL] with the subject line "Privacy Request." We will need to verify your identity before responding, and may ask for information to do so. You may use an authorized agent where the law allows; we may ask for proof of the agent's authority and may ask you to verify your identity directly.

13.3 Appeals. If we deny your request, you may appeal by replying to our decision or emailing [PRIVACY EMAIL] with the subject line "Privacy Appeal." If you are not satisfied with the result, you may contact your state attorney general.

13.4 Requests about Customer Data. If your request concerns Customer Data that we process for one of our customers, we will refer you to that customer, as described in Section 2.3.

13.5 Categories disclosed. In the past 12 months, we have collected the categories of personal information described in Section 3 (identifiers, commercial information, internet or other network activity, approximate geolocation, professional information, and the contents of communications) from the sources described there, used them for the purposes in Section 4, and disclosed them for business purposes to the categories of recipients in Section 6.

14. Users Outside the United States

The Service is operated from the United States and intended for users in the United States. If you use it from elsewhere, your information will be transferred to, stored, and processed in the United States and other places where our service providers operate, where data protection laws may differ from those in your country. [IF SERVING EU, UK, OR SIMILAR REGIONS, ADD A GDPR-STYLE SECTION.]

15. [OPTIONAL: Google User Data]

[If Gaggle accesses Google user data through Google APIs (for example, Google Drive or Google Sheets authorized through Google sign-in), its use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We use that data only to provide and improve the user-facing features the customer requested, and we do not use it for advertising. KEEP IF GAGGLE USES GOOGLE OAUTH; DELETE IF ACCESS IS ONLY BY SHARING INVITATIONS.]

16. Changes to This Policy

We may update this Policy from time to time. We will post the updated Policy on gaggle.bot and change the "Last updated" date. If we make material changes, we will give notice by email to account holders or by a notice on the site before the changes take effect. Your continued use of the Service after the changes take effect means you accept the updated Policy.
